Assistant Facility Manager – JLL What this job involves: We are looking for an Assistant Facility Manager to support the delivery of Integrated Facilities Management services within a corporate office environment. This role will focus on daily facilities coordination, workplace operations, vendor management, and administrative support to ensure smooth site operations and a positive workplace experience for employees and visitors. The successful candidate will work closely with internal stakeholders, service vendors, and the client team to maintain operational excellence, support compliance standards, and ensure timely resolution of facilities-related matters. This is a hands-on role suited for someone who is organized, service-oriented, and confident managing multiple priorities in a fast-paced environment. What your day-to-day will look like: Coordinate facilities services including office equipment maintenance, pantry appliances, and landlord-related requests such as air-conditioning services. Manage reception and front-of-house operations including visitor registration, access card administration, and visitor guidance. Oversee mailroom operations including incoming and outgoing mail distribution, courier arrangements, and employee inquiries. Support vendor coordination and monitor soft services performance through regular engagement and operational briefings. Manage invoice processing, payment tracking, purchase order generation, and goods receiving activities. Assist with incident reporting, monthly reporting, audit documentation, and compliance with JLL and client operational standards. Respond to facilities issues, user requests, and emergency situations in a timely and professional manner.
Required Qualifications
Bachelor’s degree preferred; candidates with relevant facilities management or administrative experience will also be considered. Prior experience in facilities management, workplace operations, administration, or corporate office support environment. Strong coordination and stakeholder management skills with the ability to work with vendors, landlords, and internal teams. Good understanding of facilities operations and ability to escalate issues appropriately. Proficiency in Microsoft Office applications including Word, Excel, and Outlook. Strong communication and interpersonal skills with a customer-service mindset. Ability to manage multiple tasks independently while maintaining attention to detail and operational accuracy.
Preferred Qualifications
Experience working within Integrated Facilities Management (IFM) or corporate office environments. Familiarity with vendor management and soft services coordination. Exposure to invoice management, purchase orders, and reporting processes. Knowledge of workplace health, safety, and compliance standards. Experience handling reception, front desk, or access control responsibilities. Ability to work effectively in a fast-paced and client-facing environment. Familiarity with facilities escalation procedures and operational reporting processes.
