By streamlining workflows and facilitating clear communication across internal project teams and global partners, this position ensures seamless project delivery and administrative excellence.

Overview Partner with Project Managers and offshore Project Finance Coordinators to drive financial execution, ensuring data integrity and accuracy throughout the project lifecycle. Project Initiation & Setup: Establish Google Drive repositories and maintain project records. Support the facilitation of leases and as-built documentation, coordinate site walks, and prepare depreciation analysis slides specifically for Lab projects. Planning & Procurement: Orchestrate DocuSign workflows, reconcile vendor invoices, draft Task Orders and Statements of Work (SOWs), maintain financial documentation, and help manage bid submissions via Total Bid. Design & Change Control: Administer Change Orders, track technical deliverables (GPR/BOD/Schematics), and systematically archive financial contracts and invoices. Construction Tracking: Collaborate with Project Managers (PJMs) to synchronize actual expenditures, financial forecasts, and adjustments to project scope. Project Closeout: Execute closeout checklists, assemble DCO packages, archive final records, coordinate notifications with Hard Services/PJMs, and update Capital Planning systems. Program Support: Facilitate vendor onboarding, monitor PMO action items, and manage operational tasks for OPEX projects and business proposals. Qualifications & Skills Education: Bachelor’s Degree (BA/BS) preferred.

Prior experience tracking project financials and managing contract documentation is strongly preferred. Technical Skills: Proficiency with project management tools (ADW, eBuilder, DocuSign) and Google Workspace/Shared Drives a plus. Core Competencies: Strong organizational and analytical skills with high attention to detail; excellent written and verbal communication; agile problem solver capable of analyzing and interpreting project financial documents. #ProjMJobs This position does not provide visa sponsorship. Expected compensation for this position: 79,000.00 – 103,990.00 USD per year Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
