Portfolio Manager - Property Management Job Description The Portfolio Manager is a senior leadership role responsible for overseeing multiple properties and building management teams across diverse locations. This position serves as the strategic liaison between clients, Building Managers, and internal stakeholders, ensuring operational excellence, client satisfaction, and financial performance across an assigned real estate portfolio. The Portfolio Manager provides leadership, guidance, and oversight to Building Managers who report directly to this role. Responsibilities include managing client relationships, ensuring service delivery standards are met, coordinating engineering services, resolving complex operational issues, and driving performance improvements across all assigned properties. This role requires a strategic thinker with strong leadership capabilities, exceptional client management skills, and comprehensive knowledge of property operations including mechanical, electrical, and engineering systems.
Key Responsibilities
Team Leadership & Management Directly supervise and mentor Building Managers across multiple properties, providing guidance on operational challenges, client management, and performance improvement. Conduct regular performance reviews, establish development plans, and ensure Building Managers have the resources and support needed to succeed. Foster a culture of excellence, accountability, and continuous improvement across the portfolio management team. Client Relationship Management Serve as the primary point of contact for key clients, maintaining strong relationships and ensuring client satisfaction. Conduct regular business reviews with clients to discuss property performance, address concerns, and identify opportunities for service enhancement. Proactively communicate with clients regarding significant issues, planned initiatives, and portfolio performance metrics. Operational Oversight Monitor day-to-day operations across all assigned properties to ensure compliance with service level agreements, building codes, safety regulations, and JLL standards. Review and approve operating budgets, capital expenditure plans, and variance reports. Ensure properties are maintained to optimal standards with minimal disruption to occupants and operations. Engineering & Technical Services Oversee engineering services across the portfolio including HVAC, electrical, plumbing, fire life safety, and building automation systems. Coordinate with engineering teams to address complex technical issues, plan preventive maintenance programs, and ensure regulatory compliance. Review and approve major repair projects and equipment replacement recommendations. Issue Resolution & Escalation Management Serve as the escalation point for complex operational issues, tenant concerns, and emergency situations across multiple buildings. Coordinate response to critical incidents, ensuring appropriate resources are deployed and stakeholders are informed. Develop solutions to recurring problems and implement preventive measures. Financial Management Review and monitor financial performance across the portfolio including operating expenses, cost recovery, capital projects, and budget adherence. Identify cost-saving opportunities while maintaining service quality. Prepare financial reports and variance analyses for clients and senior management. Strategic Planning
