Provide general overall Facility Management services including continuous monitoring of facility. Work with facility managers to handle routine operation management, including: procurement of facilities supplies and services, issuing purchase orders, managing bid requests and service/ construction contracts, and processing of accounts payable and accounts receivable , and engineering coordination to ensure stable and safe office and production environments.
Primary Responsibilities
Administrative Function Assist Facility Management Team with tactical planning for the team’s goals and objectives Provide facility specific assistance to the project management team as needed or requested Manage and maintain small facility management tasks as assigned Coordinate campus shuttle service support for Client PO tracking, reviewing and issuing Provide support for meetings and conference room reservations as needed and directed Assist with the coordination and scheduling of maintenance activities Communication and Relationship Coordination Provide general overall facility management services including continuous monitoring of office/facility Act as an interface with client, visitors and guests Ensure appreciate follow up with customers Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/ execution of work within client environment with minimal disruption Compliance Properly and effectively administer and maintain all security systems Assist with budgetary requests, analysis and reporting Assist with researching, analyzing and reporting budget variances M&E Relate d Assist with office system inspections (HVAC, electrical and mechanical, water supply and drainage), maintenance, and troubleshooting. Participate in engineering project coordination and on-site management. Budget control, payment processing and reimbursement, and other finance-related administrative tasks. Office general affairs management, equipment procurement, and daily administrative support. Contract negotiation, lease management, and lease renewal process coordination. Engineering vendor evaluation, management, and construction quality/safety supervision. Job Requirements Education Associates degree in facilities management, building, business or other related field or equivalent work experience (bachelor’s degree, preferred) Knowledge, Skills, and Ability 1+ years of experience in facility management, electrical and mechanical systems, engineering, or general affairs. Basic knowledge of engineering, electrical, or electromechanical systems. Superior customer service skills and orientation Ability to maintain professionalism always under stressful situations Ability to plan and manage work under time constraints Ability multitask and work without direct supervision Proficient in MS Office, and possess strong written, verbal and people skills Strong organizational skills and collaborative style Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports Location: On-site –Kaohsiung, Taiwan, China If this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements.
