About the role
We are seeking a detail-obsessed, US-based Annuity Case Manager to own the post-proposal, pre-funding journey for every case handled by an assigned book of Annuities agents. Annuities is a high-consideration, high-stakes product — clients are committing $250K+ and the path from proposal to funded policy runs through OFAC/AML checks, carrier-specific paperwork, and multi-step application submission. Today, agents spend roughly as much time on this administrative work as they do selling. Your job is to take that work off their plate entirely, so they can stay focused on the client relationship. You'll support 2–3 agents at a time, working the case from the proposal call through funding, and operating inside a clearly defined administrative lane set by Compliance.
Duties and Responsibilities
• Own the Case from Proposal to Funding. Take ownership of each case starting at the agent's proposal call, through application submission, approval, and funding — freeing the agent to focus on the next conversation.
• Run Compliance-Critical Steps on Time. Trigger and complete the OFAC/AML check before any application data entry — this step is time-sensitive and blocks everything downstream.
• Manage Documentation & Data Entry. Collect required client documentation (driver's license, funding source details, 401(k) rollover paperwork) and transcribe case information accurately into the carrier portal and Salesforce.
• Drive Applications to Approval. Submit completed applications, track them through underwriting, and proactively resolve outstanding requirements with the carrier.
• Coordinate Funding Logistics. Manage the post-approval process for moving funds — EFT, check, wire, or 401(k) rollover — and keep the case moving to close.
• Keep Everyone in the Loop. Provide agents and clients with clear, timely status updates at every stage of the case.
• Operate Strictly Within an Administrative Lane. This is a non-licensed, non-sales role. You will not solicit, negotiate, or discuss product features, risks, benefits, or carrier recommendations with clients. If you join a client call, you'll disclose that you are unlicensed and not part of the sales process.
Qualifications and Skills
• Case Management or Transaction Coordination Experience. Background in new-business processing, case management, or transaction coordination — insurance/annuity case management, mortgage loan processing, or real estate transaction coordination all translate directly.
• Comfortable Inside a Compliance Boundary. You understand the difference between administrative support and solicitation, and you don't drift into product discussion even when a client asks.
• CRM & Carrier Portal Fluency. Proficient with Salesforce and comfortable learning multiple carrier-specific systems.
• Process-Driven and Detail-Oriented. Track record of managing multi-step workflows against hard deadlines and compliance gates
