Organize corporate events, meetings, and internal office activities. Manage relationships with suppliers and service providers, including market research, obtaining and comparing commercial proposals, participating in negotiations, preparing and administering contracts, and monitoring service quality and delivery timelines. Oversee office facilities, cleaning standards, and compliance with health and safety requirements; liaise with cleaning vendors and monitor contractual performance. Coordinate the procurement of office equipment, furniture, supplies, kitchenware, and other resources required for office operations. Ensure the timely provision of food, drinking water, office supplies, household items, and medical supplies. Maintain and administer the company's physical and electronic archive, ensuring proper document organization, storage, and recordkeeping. Manage the company's document repository, coordinate document archiving, conduct annual archive inventory reviews, and maintain electronic archives and scanned document databases. Participate in annual budget planning and monitor administrative expenses. Liaise with the landlord and business center service providers. Perform other administrative and organizational tasks as assigned by management.
Requirements
Bachelor's degree. Good command of English, both written and spoken. Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook). Previous experience in an administrative role. At least 2 years of experience coordinating a team of 3–10 people is preferred. Experience working with vendors and contractors will be an advantage. Strong document management and business correspondence skills. Experience organizing events and providing office administrative support. Ability to manage multiple tasks simultaneously and prioritize effectively. Strong communication and organizational skills. High level of responsibility and attention to detail. Customer-oriented mindset with the ability to work effectively with internal stakeholders. Experience managing office infrastructure and administrative budgets. Experience working with contracts, invoices, and primary accounting documentation. Ability to coordinate the work of reception staff, drivers, couriers, cleaning, and technical service teams. The hourly pay range for this job, in the US, is $XXX per hour. Individual salaries are based on education, geographic location, and alignment to the market data.
