Job Summary
The Project Specialist supports the execution and operational governance of key technology initiatives within the Global IT organization. This role partners closely with senior technology leadership to drive alignment, coordination, and visibility across strategic programs, ensuring milestones, deliverables, and communications are effectively managed. Serving as an operational enablement partner, the Project Specialist facilitates cross-functional collaboration, supports executive prioritization and planning rhythms, and maintains structured oversight of action plans, risks, and dependencies. The role also develops executive-ready communications and reporting materials to support informed decision-making and leadership engagement. This position requires strong organizational discipline, business acumen, and the ability to operate in a fast-paced, global environment. The ideal candidate demonstrates proactive problem-solving, strong written and verbal communication skills, and the ability to manage multiple priorities while maintaining discretion and professionalism.
Duties and Responsibilities
Lead coordination and execution support for cross-functional initiatives and strategic technology programs; track milestones, risks, dependencies, and ensure alignment to enterprise objectives. Provide operational enablement support to senior technology leadership, including prioritization management, strategic calendar alignment, preparation for executive forums, and ensuring follow-through on key commitments and deliverables. Support financial and operational processes tied to technology initiatives, including monitoring budget-related documentation and ensuring compliance with internal controls and policies. Facilitate project governance routines by attending program meetings, capturing decisions, documenting risks and action plans, and maintaining visibility of progress across stakeholders. Develop executive-ready communications, briefing materials, and reporting artifacts to support leadership messaging and decision-making. Enhance team communication channels and digital workflows through use of collaboration tools, automation, AI-enabled documentation, and multimedia content when appropriate. Maintain structured digital documentation repositories and information governance standards across collaboration platforms (SharePoint, OneDrive, Teams, etc.). Coordinate enterprise-level meetings and stakeholder engagement, including agenda development, pre-read distribution, documentation of outcomes, and action planning.
Qualifications
Education Required: Associate’s degree/certification in project management, communications, or business-related field Education Preferred: Bachelor’s degree in business administration, Communications, IT, or a related field preferred.
Experience
Required: 2 – 4 years of experience supporting projects, programs, operations, or leadership teams within a corporate or technology environment. Experience preparing professional communications, reports, or presentations for leadership audiences. Proven ability to maintain confidentiality and operate effectively in a fast-paced environment.
