As an Executive Administrative Assistant at Medtronic Surgical, you will serve as a trusted business partner supporting Commercial Excellence, Marketing, and Commercial Operations leadership. This role provides strategic administrative and operational support to one Vice President, one Senior Director, and two Directors across Commercial Excellence, Marketing, and Operations. You will help drive organizational alignment, communication, and execution through exceptional executive support, meeting management, communications, and operational coordination. Your expertise in managing complex priorities, facilitating leadership communications, coordinating high-impact meetings, and handling confidential information will enable leaders to focus on advancing strategic priorities and driving business results. You will play a critical role in fostering collaboration, engagement, and organizational effectiveness across the Surgical organization.
Primary Responsibilities
Proactively manage complex executive calendars across leaders, functions, and time zones; anticipate needs, resolve conflicts, and optimize leadership time Develop and distribute executive communications, including weekly updates, leadership announcements, organizational messages, and strategic content Manage the Commercial Excellence Teams channel, distribution lists, and related SharePoint resources, ensuring communications, meeting materials, recordings, and organizational resources remain current, accurate , and accessible Partner with leaders to develop executive-ready presentations, communications, reports, dashboards, and business materials that support organizational priorities and leadership messaging Lead planning and execution for monthly team meetings, leadership reviews, recurring field calls, quarterly offsites, and organizational events, including agenda development, presentation support, speaker coordination, logistics , materials, notes, and follow-up Coordinate and schedule recurring field calls and leader-led forums, ensuring effective communication, participant management, meeting preparation, and post-meeting follow-up. Track decisions, commitments, owners, and deadlines to reinforce accountability and timely execution. Monitor and coordinate completion of required compliance training, acknowledgments, and organizational requirements; maintain tracking reports, provide reminders, and support leadership visibility into team compliance status Coordinate domestic and international travel, itineraries, transportation, lodging, and related meeting logistics Prepare, submit , audit, and reconcile travel expense reports in accordance
