The Patient Care Coordinator serves as a key point of contact for patients by delivering exceptional customer service both in person and remotely. This role combines front desk reception responsibilities with patient access and call center functions to support efficient clinic operations, patient satisfaction, and continuity of care. Working in both on-site and remote settings, the coordinator assists with patient registration, appointment scheduling, insurance verification, inbound call management, and coordination of patient needs while maintaining a professional, welcoming, and patient-centered experience. This position is full-time, Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:30 am - 5:00 pm PST. It may be necessary, given the business need, to work occasional overtime. We offer 2 - 3 months of paid training. The hours during training will be 8:00 am - 5:00 pm PST, Monday - Friday. Primary Responsibilities
Front Desk Responsibilities Greet and check in patients in a courteous and professional manner Verify patient demographics, insurance information, and required documentation Collect copayments, outstanding balances, and obtain necessary signatures Manage patient registration and update electronic health records (EHR) Coordinate patient flow and communicate delays or scheduling changes Schedule, reschedule, and cancel appointments according to clinic guidelines Maintain a clean, organized, and patient-friendly reception area Provide administrative support to providers and clinical staff as needed Call Center Responsibilities Answer high-volume inbound patient calls in a timely and professional manner Schedule, reschedule, and cancel appointments across multiple specialties and providers Triage calls appropriately and route messages to clinical teams Provide patients with information regarding appointments, referrals, procedures, and clinic policies Verify insurance eligibility and explain basic coverage requirements when appropriate Document patient interactions accurately within the electronic health record (EHR) Assist patients with portal access, virtual visit support, and appointment reminders Resolve routine patient concerns and escalate complex issues to leadership when necessary This office-based role provides flexibility while ensuring seamless patient support through a combination of in-person front desk services and remote patient access/call center functions.
