Your Role
The Billing Coordinator plays a critical role in supporting the financial operations of the organization by managing project billing activities and ensuring the accuracy of financial transactions. This position is responsible for setting up and maintaining project account information, preparing and revising invoices, and collaborating with billing executives and project managers to monitor the financial health of projects. The Billing Coordinator maintains organized documentation, and provides financial reports as needed. Additionally, this role supports collections efforts and assists with special accounting projects What You'll Do Set up new projects and monitor the status of existing projects in the accounting system. Effectively communicate with Project Managers regarding contract documents, change orders, and other contract modifications, approvals, and any additional services related to billing. Compile, analyze, & process a high volume of project bills to clients on a monthly basis. Work closely with project managers to ensure that invoices are accurate and comply with corporate guidelines. Review weekly timesheets to ensure that they have been submitted and approved prior to invoicing. Maintain project billing folder and accounting system to ensure all invoices and other project-related documents are readily accessible for project managers & the accounting department. Communicate professionally with project managers, clients, and other staff to provide accurate information and respond timely to inquiries and completion of assignments. Investigate billing errors, resolve discrepancies, and reconcile the account.
What You'll Bring
2 - 8 years plus of billing experience, preferably in the engineering, architectural, or construction industry. Associate or bachelor’s degree in accounting/finance or a similar field. Familiarity with Government Agency Billing & Audits preferred: WAWF/DCAA/PANYNJ/FAR/GSA Knowledge of Dynamics software is ideal. Proficient in MS Excel. Excellent analytical and problem-solving skills. Strong written and verbal communication skills.
Compensation
The rate for this position generally is $1 - $400 hourly. This range is a good faith estimate provided pursuant to the Illinois State Pay Transparency Law. It is based on what a successful Illinois State applicant might be paid and assumes that the successful candidate will be in Illinois State or perform the position from Illinois State. Similar positions located outside of Illinois State will not necessarily receive the same compensation. Actual pay rates may vary from the range, as permitted by Illinois Equal Pay Transparency Law. Compensation offers will be based on various factors, including operational needs, individual education, qualifications and experience, work location and comparison to employee already in the role, as well as other considerations permitted by law. A potential new employee’s pay history will not be used in compensation decisions.
