Facilities Coordinator 사원대리급 (상암동 근무) A successful candidate will be self-motivated, quick-thinking, flexible, collaborative, and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times. This is a demanding and fast-moving position that requires someone who is able to exercise good judgment and who takes significant initiative. This is a fast-paced position supporting on-the-go executives who value thoroughness, agility, and a can-do attitude as well as someone who is passionate about being great at their job! Specific responsibilities include, but are not limited to: ● Greet and assist all visitors and employees and be a personable and warm ambassador of Workplace. ● Conduct and operate regular facilities inspections and audits. ● Coordinate with vendors on office operations and maintenance/repairing. ● Liaison with building management/business center operator for operations and maintenance. ● Provide prompt responses to requests and issues from facility occupants ● Respond to emergencies as needed to minimize any downtime within the workplace. ● Assist & support with onboarding and welcoming new employees into their new workplace. ● Assist and Support internal and external events by checking venues, facilities, amenities, and providing F&B support. ● Provide administrative support to the Workplace team, including P-card expense claims, creating presentations, newsletters, and other documents using G-Suite, scheduling meetings, and organizing Google Drive team folders. ● Raise purchase orders, process invoice payments, validate transactions, and follow up with the Accounts Payable team. ● Coordinate supplier onboarding and support financial administration. ● Manage office supplies and stationery orders. ● Manage and process all incoming/outgoing mails and parcels. ● Coordinate on-site logistics and support import/export processes. ● Provide concierge support such as restaurant options and transportation arrangements. ● Manage and facilitate security badging system ● Manage and facilitate guest management system ● Assist with the security system's onsite tests and troubleshooting ● Entrance Intercom responder ● Incident reporting to the Security team ● Communication with Building Security/management ● Fulfill additional responsibilities and undertake various tasks as assigned on an ad-hoc basis. Qualifications: ● 3+ Years in previous experience with workplace experiences and services, operations of administrative/coordination ● Events support management including venue and F&B. ● Strong written and verbal communication skills and the ability to multitask. ● A team-player and proactive and proficient problem-solver ● Ability to be discreet and maintain confidential information ● Proficiency in Google and MS Office, including Gmail, Google Calendar, Google Meet, Google Docs, Google Groups, MS Word/Excel Location: On-site –Seoul, Korea, Republic of If this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements.
