GENERAL DESCRIPTION OF ROLE: Supports the delivery and continuous improvement of Aon's global onboarding program by coordinating day-to-day operations, logistics, communications, reporting, and project activities. Maintains onboarding resources and data, provides stakeholder support, tracks program performance, and helps drive process enhancements through automation, AI, Copilot, and other digital solutions to improve the new hire experience.
JOB RESPONSIBILITIES
The colleague is responsible for: Operations and logistics Support the day-to-day execution, maintenance, delivery and enhancement of Aon’s global onboarding program. Monitor and respond to routine onboarding inquiries through shared mailboxes, Teams channels, Viva Engage and other communication channels. Coordinate logistics for onboarding sessions, manager training, new hire events and related programs, including registrations, invitations, attendance tracking, materials and follow-up. Provide technical support and/or facilitate onboarding sessions as needed. Escalate complex issues, process exceptions, risks or stakeholder concerns as appropriate. Documentation, data and reporting Maintain onboarding documentation, trackers, distribution lists and operational records, ensuring information is accurate, current and aligned with approved program guidance. Support updates to onboarding portals, SharePoint sites, dashboards, surveys and other program resources. Prepare survey analysis, reports, presentations and updates for program reviews. Handle employee data in accordance with privacy and confidentiality requirements. Process and project support Support onboarding projects by coordinating activities, tracking milestones, documenting progress, and assisting with testing or implementation. Coordinate project meetings, capture notes and share meeting summaries, next steps and status updates. Flag recurring issues, data trends, quality concerns, lessons learned and improvement opportunities for review. Identify and support practical process improvements, including opportunities to simplify work through automation, AI tools, Copilot and other digital capabilities. SKILLS/COMPETENCIES REQUIRED : Experience supporting HR, onboarding, talent development, learning, employee experience, operational programs or service delivery, ideally in a global or multicultural environment.
