What We Are Looking For
At Distyl, Recruiting Coordinators are the connective tissue that keeps our hiring engine running. This role is for someone who is excited to own the candidate experience end to end, manage a high volume of scheduling across multiple concurrent searches, and continuously find ways to make the process faster and better using AI tools. Recruiting Coordinators operate at the intersection of candidate experience, cross-functional coordination, and process improvement. They partner closely with recruiters, hiring managers, and interviewers to keep pipelines moving, and their work is not limited to logistics: they help identify where the process breaks down and build the tools and workflows that fix it.
Key Responsibilities
Own end-to-end interview coordination and scheduling across multiple concurrent reqs, spanning technical and non-technical roles Act as the primary point of contact for candidates throughout their journey, communicating with a warm, informative tone that makes every touchpoint feel considered Navigate complex scheduling scenarios, coordinating availability across candidates, interviewers, hiring managers, and leadership Partner with recruiters and hiring managers to keep pipelines moving, proactively flagging bottlenecks or scheduling conflicts before they become delays Maintain accurate, clean candidate data and pipeline hygiene in Ashby Identify opportunities to use AI tools to streamline scheduling, communication, and reporting, and help build and implement those improvements Support and suggest improvements to our recruiting processes in collaboration with the broader team, especially in ambiguous or undefined situations Coordinate onsite and virtual interview logistics, including panel prep and debrief scheduling Support offer logistics and handoff to People Ops Who You Are Experience in High-Growth Recruiting Operations: You have worked as a Recruiting Coordinator or in Talent Operations at a high-growth startup and understand what it takes to keep hiring moving at speed Comfort Supporting Roles Across Different Departments: You can work directly with hiring managers across departments and functions to keep their searches on track, from technical roles to go-to-market and operations. AI-Native Working Style: You use AI tools daily to streamline scheduling, communication, and reporting, not just to keep up with them Bias Towards Process Improvement: You notice where a workflow is inefficient and take the initiative to fix it, rather than just working around it Candidate-First Mentality: You treat candidate experience as a top priority in every interaction, not a checkbox at the end of the process Strong Written and Verbal Communication: You write clear, friendly emails that build rapport and keep every stakeholder informed Comfort with Ambiguity: You can manage multiple reqs and stakeholders at once without dropping details, even when the process isn't fully defined yet Ownership Mentality: You take responsibility for
