The role
We are creating an operations function within the Nebius communications organisation to support our External Communications, People Communications, and Sustainability teams.The operations team will help the whole communications organisation run more effectively, building the processes, tooling and coordination mechanisms that enable team members to focus on delivering an exceptional communications program.We are looking for someone to build this function. Reporting to the Chief Communications Officer, you will enjoy considerable autonomy and work closely with leaders across the communications organisation. You will also manage the day-to-day work of the communications organisation’s assistant, work closely with the Project Manager for AI adoption. As the function evolves, you may in time build out the operations team into a broader communications strategy and operations function
This role be located from our HQ in Amsterdam on a Hybrid model
What you will do
Team operations and coordination
• Own the communications team's operational rhythm: quarterly and annual planning; internal calendars; team events, meetings and offsites; and cross-team coordination
• Coordinate team events, offsites, and the operational side of the management meeting cycle
• Act as connective tissue across the communications organisation, to help ensure maximum alignment and avoid duplications of effort or working at cross-purposes
Strategy and project support
• Help develop and maintain the communications team's planning frameworks, OKRs, and goal-tracking
• Prepare materials for leadership reviews and internal reporting on team performance and pipeline
• Support senior leads on specific strategic projects as agreed
Budget and contracts
• Build and maintain robust budgeting processes that give leads clear visibility into their spend at any point in the year
• Oversee implementation of the communications team budget: tracking spend, flagging variances, managing purchase orders and invoicing with finance
• Manage vendor and agency contracts: renewals, onboarding, scope changes, and compliance with procurement processes
Tooling and AI
• Identify tooling needs and build the stack, from evaluation through to implementation and maintenance of third-party tools across the organisation
• Lead the communications team's adoption of AI tools, identifying where they add genuine value and helping team members use them effectively
• Work with IT and procurement to manage tool contracts, access, and spend
What we are looking for
Essential
• Demonstrated experience in an operations, strategy, or chief-of-staff type role, ideally within a communications, marketing, or media organisation
• Strong project management skills: you know how to design a process, stick to it, and adapt it
