What you will be doing
The Maintenance Coordinator, at ACME for the Mid-Atlantic market, completes a variety of specialized duties that support the operation of the division's In-House Refrigeration Maintenance program. This role focuses on tasks and work that are unique to the department and require knowledge and skills beyond the normal scope of department specialists.
Main Responsibilities
Assists stores with routine and preventative maintenance services and calls, addressing related issues including billing, dispute resolution, and maintenance of approved vendor lists. Provides general administrative support to the Refrigeration Manager and Refrigeration Technicians. Maintains complex records related to maintenance and repair work. Responds to inquiries in the area of responsibility, including routine correspondence to service providers (e.g., warranty letters, check requests, requisitions). Collects and updates data, provides reports and basic analysis for the Director of Maintenance and Refrigeration Manager, and checks information for accuracy. Answers department phones as needed, routes calls to appropriate areas, and dispatches Refrigeration Technicians as required. Coordinates maintenance schedules for Technicians with Refrigeration Supervisors. Reviews information/data and makes decisions within defined guidelines, parameters, and instructions. Examines and prioritizes documents to determine work to be completed or the best course of action. Sorts, files, and maintains invoices, receipts, contracts, service records, refrigerant and refrigerant compliance documents, and other special department documents. Creates and maintains unit documents such as ledgers, financial records, service information, emergency contact information, vendor insurance files, procedure manuals, etc. Acts as a resource to staff in the work group and performs other related functions and duties as assigned. We believe the successful candidate has these qualifications and experience High school graduate with some college or related technical school desirable. 5+ years of experience as an Administrative Assistant or Department Specialist, preferably in a related department such as Refrigeration, Maintenance, Construction, or Real Estate. Strong written and verbal communication skills. Strong computer skills, including proficiency in Word, Excel, Outlook, PowerPoint, and Access. Detail-oriented, organized, and strong analytical skills. Familiarity with company systems (portal, Maximo, mainframe) is preferred.
