About this role
As the Receptionist Office Administrator you will be the first contact for visitors, employees, vendors, and customers while providing administrative support to ensure the efficient operation of the plant office. You will manage front desk management, office organization, Oracle transaction processing, EHS administrative support, and general office tasks in a manufacturing environment.
Key Responsibilities
Greet and assist visitors, contractors, vendors, and customers. Answer, screen, and direct incoming phone calls and email inquiries. Manage visitor sign-in procedures and maintain site security protocols. Schedule meetings, conference rooms, and appointments. Maintain office files, records, and documentation. Order office supplies and maintain inventory levels. Distribute incoming mail and coordinate outgoing shipments. Prepare reports, presentations, correspondence, and other administrative documents. Maintain a clean, organized, and professional front office environment. Enter and process transactions within Oracle and other business systems. Support inventory, purchasing, receiving, and related transaction activities. Verify transaction accuracy and resolve routine discrepancies. Assist plant personnel with data entry and system-related administrative support. Maintain accurate records and documentation related to system transactions. Support the Environmental, Health & Safety (EHS) department with administrative and data management activities.
Qualifications
High school diploma or equivalent required; associate degree. 3+ years experience in a receptionist, administrative assistant, office coordinator, or similar role. 3+ years of experience working with Oracle or other ERP systems. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Strong communication and customer service skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced manufacturing environment.
