This role requires exceptional communication and organizational skills to navigate the complexities of patient scheduling, surgeon availability, facility resources, and insurance authorizations. Working closely with patients, clinics, surgeons, operating rooms, ambulatory surgery centers, and external partners, you will help ensure every surgical case is accurately prepared, efficiently coordinated, and seamlessly executed to support outstanding patient care and a positive patient experience.

 Responsibilities: Coordinate and schedule complex surgical procedures across clinic, operating room (OR), and ambulatory surgery center (ASC) settings, ensuring accuracy and efficiency throughout the entire scheduling process. Manage provider clinic, surgical, and procedural schedules while maintaining up-to-date daily, weekly, and monthly surgery calendars. Obtain and verify all required prior authorizations, certifications, referrals, clinical documentation, and insurance information before procedures are performed. Collaborate with providers, patients, clinical teams, and external partners to coordinate preoperative requirements, including laboratory testing, diagnostic studies, consultations, and medical clearances. Serve as a central liaison between providers, clinics, surgical facilities, and support departments to ensure seamless communication and case readiness. Coordinate required personnel, equipment, and resources for surgical procedures based on provider specifications and procedural requirements. Proactively manage scheduling challenges, including add-on cases, delays, cancellations, emergencies, and last-minute schedule changes. Communicate effectively with patients through multiple channels, including phone, in-person interactions, patient portals, and interpreter services, to provide exceptional service and support. Support clinical and operational leadership with provider scheduling, staffing coordination, Epic template management, workflow improvements, and standardization initiatives. Exercise strong independent judgment, problem-solving, prioritization, and organizational skills in a fast-paced healthcare environment. Assist with administrative and operational support activities, including meeting coordination, supply ordering, service requests, and other departmental needs. Demonstrate a commitment to collaboration, accountability, respect, engagement, and service while fostering positive relationships with providers, patients, and colleagues.
Qualifications
Education High school diploma or GED required.
Experience
Minimum of 18 months of experience in a clinical or healthcare setting required. Previous experience supporting and working directly with surgeons is required. Familiarity with CPT and ICD-10 coding is preferred.
