This function collaborates with leaders, employee resource groups, Human Resources, and business partners to drive strategic priorities, operational excellence, and meaningful employee experiences. This position is based in Minneapolis, Minnesota and works onsite. Minimal travel may be required to support meetings, events, and business activities.                     The Associate Operations Specialist - GIDE provides operational, project coordination, and administrative support for the Global Inclusion, Diversity & Equity (GIDE) function. This role supports leadership meetings, programs, events, and ongoing initiatives through project coordination, financial administration, meeting logistics, reporting, and stakeholder engagement. The position works closely with internal partners, vendors, and senior leaders to help ensure priorities are executed effectively and deliverables are completed on schedule. This role will provide project organization support and partnership to the GIDE team (includes Networks/ERGs, IDE External Partnerships and Community, and COE teams). You will work directly with the teams to provide specialized function-related support and lead administrative and project coordination. You will have the opportunity to work across multiple teams to be sure needs are met for leadership and other team members. This role requires skill, tact, discretion, organization, and judgment to accomplish objectives as assigned.

Primary Responsibilities

Prepare presentations, reports, meeting materials, and other business resources to support leadership meetings, GIDE initiatives, and employee engagement activities. Coordinate day-to-day project activities, including timelines, milestones, dependencies, and readiness activities to support successful execution of key priorities. Manage end-to-end invoice processing activities, including purchase order initiation, vendor setup requests, invoice submission, tracking, and issue resolution. Partner with budget management, Accounts Payable, vendors, and internal stakeholders to support accurate financial administration and timely payment processing. Coordinate logistics for virtual, onsite, and offsite meetings, events, speaker engagements, and site visits, including scheduling, room reservations, technology setup, and meeting support. Maintain project plans, status reports, meeting notes, action items, and other project documentation to provide visibility into progress and deliverables. Build and maintain effective working relationships with senior leaders, Human Resources partners, vendors, and cross-functional stakeholders. Support confidential business activities requiring sound judgment, discretion, organization, and attention to detail.

Required Qualifications

Bachelor's Degree. Experience in project coordination, operations support, administrative support, program support, or a related business function. Experience coordinating multiple projects, activities, or deliverables with competing deadlines. Experience using Microsoft Word, PowerPoint, Excel, and SharePoint in a business environment.
