JOB DESCRIPTION
Primary Function To assist the GM in completion of diversified administrative duties with computer, accounting, communication and organizational skills utilizing an awareness of company policy and procedures. Advanced knowledge and understanding of business processes and requirements consistently handles confidential or business sensitive information. Data is typically organizational or multi-dimensional. Maintains and manages executive calendar. Manages domestic and international travel plans using executive guidelines. Proactively identifies and resolves scheduling conflicts. Primary point of contact for GM' schedule .
Major Responsibilities
General: - Performs administrative and incidental administrative functions such as preparing correspondence, answering telephones, maintaining files and supplies, keeping appointment calendar, compiling and preparing regular and special reports, and other tasks as necessary. - Support GM &/or Division visitors on their administrative needs. - Schedules and coordinates meetings; initiates and follows up on all hotel and travel arrangements; prepares itineraries. - Act as a liaison between the GM and the staff, other department and external personnel. - Manage incoming/outgoing documentation for expenses, contracts, etc. and keep accuracy of documents and keep confidentiality as required. - Handles all confidential correspondence and inter-company communications. Facilitates general inter-departmental communications and interfacing. - May provide training and orientation to new staff. - Annual kick-off meeting/event management cum monthly divisional gatherings. - Support all Company initiatives as identified by management and in support of Quality Management Systems (QMS), Environmental Management Systems (EMS), and other regulatory requirements. - Complies with company policies, operating procedures, processes, and task assignments. Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors. - Performs other related duties and responsibilities, on occasion, as assigned.
Minimum Requirements
EDUCATION/TRAINING: - B.A with appropriate qualifications in administrative disciplines is required. - Excellent oral and written English skills and Self Starter. BACKGROUND/TECHNICAL KNOWLEDGE: - A minimum of 3-5 years executive secretarial| experience. - Proficiency in Excel, PowerPoint, Word, Microsoft Outlook and the demonstrated ability to use Outlook Scheduler a plus. - Excellent oral and written English skills and Self Starter. Preferred Requirement - Experience working in a broader enterprise/cross-division business unit model preferred.
