Mail Services Coordinator- JLL What this job involves: As a Mail Services Coordinator at JLL, you'll be the operational backbone of our mailroom and document production services, ensuring seamless communication flow throughout our client's facility. This role puts you at the heart of daily operations where precision meets service excellence. You'll manage all aspects of incoming and outgoing mail across multiple building locations, coordinate complex international mailings, and operate sophisticated digital printing and finishing equipment. Working collaboratively with executive teams, building tenants, and facility management, you'll handle everything from confidential correspondence to wide-format plotting services. This position offers hands-on responsibility in a dynamic environment where your organizational skills, attention to detail, and problem-solving abilities directly contribute to exceptional service delivery and workplace productivity. What your day-to-day will look like: • Process incoming mail, packages, and interdepartmental correspondence with accuracy and timeliness across multiple building locations • Coordinate mail collection and distribution using established routing systems while managing executive mail services including confidential correspondence and priority deliveries • Operate digital printing systems, wide-format plotters, and finishing equipment for document production requests • Process international mailings and coordinate with customs requirements for overseas correspondence • Maintain detailed tracking systems for registered mail, certified deliveries, and package logistics • Analyze mail and printing costs to identify efficiency opportunities and cost-reduction initiatives, making recommendations to assistant or facility managers • Perform mailroom inspections, manage supply inventory, and proactively develop client relationships to ensure expected service levels are consistently achieved Required qualifications: • High school diploma or equivalent • Minimum of one year experience in corporate mailroom operations or related skills • Knowledge of current postal codes, procedures, and regulations • Proficiency in a range of information technology tools and platforms • Strong attention to detail required for handling sensitive mail and ensuring proper routing • Ability to lift a minimum of 50 pounds, bend, and move in ways necessary to perform job tasks safely • Excellent communication, organization, and problem-solving skills Preferred qualifications: • Self-motivated with confident, energetic, and flexible approach to work • Ability to work independently with minimal supervision • Experience operating digital printing systems and wide-format plotting equipment • Familiarity with international shipping procedures and customs documentation • Track record of identifying operational improvements and driving cost efficiencies Location: Redwood City, CA Schedule: M-F 8AM-5PM This position does not provide visa sponsorship.
