Scope of Position The Administrative Assistant provides comprehensive administrative and operational support to the site leadership team. This role is responsible for coordinating meetings, preparing reports, maintaining records, managing front desk and visitor activities, supporting safety and facility initiatives, and assisting with cross-functional administrative activities. The incumbent serves as a key point of contact for employees, customers, vendors, and visitors while contributing to the efficient operation of the facility and maintaining a professional and welcoming environment. This position has no supervisory responsibilities . This position reports to the General Manager. This role is onsite and is based in Hutchinson, KS. Primary Job Duties and Responsibilities Provide administrative support to site leadership team. Coordinate, schedule, and support regularly scheduled meetings, including agenda preparation, meeting logistics, and meeting minutes. Maintain accurate electronic and hard-copy filing systems in accordance with company procedures. Assist Accounting with document management and electronic file maintenance. Control and track the receipt and distribution of legal and official business documents. Generate reports using Microsoft Excel and other business systems to support operational decision-making. Assist Facilities and HR with the preparation, posting, and distribution of notices, communications, and signage. Ensure visitor safety procedures and protocols are followed at all times. Manage front desk operations and serve as the first point of contact for visitors, customers, and employees. Answer and direct incoming telephone calls and inquiries professionally and efficiently. Receive, register, and greet visitors while ensuring compliance with visitor management and safety procedures. Coordinate visitor access and connect visitors with appropriate hosts. Manage ID badge preparation, issuance, and recordkeeping. Maintain adequate inventory levels of Personal Protective Equipment (PPE) for employees and visitors. Coordinate scheduling and usage of the conference rooms. Assist with room setup, breakdown, and meeting logistics as needed. Monitor surveillance systems and report suspicious activity or security concerns to appropriate personnel. Perform other duties and special projects as assigned by management. Responsibility directly tied to Watts Value (Integrity, Accountability, Continuous Improvement, Transparency) Travel Requirements: N/A Required Qualifications Associate degree in Business Administration, Office Administration, or related field; equivalent combination of education and relevant work experience will be considered. Minimum 2 years of administrative support experience, preferably within a manufacturing, operations, or industrial environment. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Strong organizational skills with the ability to manage multiple priorities simultaneously. Excellent verbal and written communication skills. Ability to maintain confidentiality and handle sensitive information with discretion.
