Aon is seeking an experienced Executive Assistant to provide high-level support to senior and executive leaders. This role is central to the effectiveness of team leadership and helps the broader team stay focused on business priorities. You will manage complex schedules, communications, meetings, travel, records, and day-to-day office coordination. Success in this role requires sound judgment, discretion, confidentiality, attention to detail, and the ability to reassess priorities in a fast-moving environment. You will also serve as a trusted point of contact for senior leaders, Board members, investors, colleagues, clients, and external partners! This position is based in New York, New York, and follows an in-office work arrangement. How this opportunity is different This role extends beyond traditional scheduling and travel coordination. You will collaborate closely with the executive and colleagues across functions and geographies. Your goal is to improve information flow, protect time for priority work, and support effective decisions. You will gain exposure to enterprise-level priorities, leadership meetings, town halls, and cross-functional initiatives. You will also have opportunities to strengthen processes, establish practical administrative standards, and improve how team leadership operates. What the day will look like Manage Executive Priorities: Advanced calendar management, handling competing requests, coordinating executive communications, records management, office administration skills, and ensure the leader's time is aligned to key business priorities. Coordinate Meetings & Communications: Plan and facilitate meetings from scheduling through follow-up, including agendas, materials, technology readiness, action item tracking, Leadership events, Board meetings, communication with senior stakeholders, and virtual conferencing logistics. Oversee Travel & Expenses: Arrange domestic and international travel, manage itineraries, process travel and expense submissions, and ensure a seamless executive experience. Drive Partnership & Process Improvement: Partner closely with the Chief of Staff and key stakeholders to support special projects, improve workflows, solve problems proactively, and enhance team leadership effectiveness. Support New York Office operations. Coordinate workspace readiness, supplies, visitors, facilities requests, and shared administrative resources. Help ensure computers, printers, conferencing tools, and other office equipment are available and functioning, partnering with the appropriate support teams when issues arise. Coordinate with approved travel, meeting, catering, facilities, and office-service vendors and address service needs promptly.

Skills and Experience

That Will Lead to Success 7+ years supporting C-suite or senior executives within a large, complex organization. Strong organizational skills with the ability to manage multiple priorities, anticipate needs, and deliver high-quality work with accuracy and attention to detail. Excellent written and verbal communication skills and judgment with experience interacting with senior leaders, Board members, external partners, and clients. Collaborative mindset with the ability to build trusted relationships and influence without direct authority. Technical Experience Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, Teams, and proofreading/editing
