Job Overview The Executive Assistant to Chief Human Resources & Corporate Affairs Officer provides comprehensive executive-level support with the highest degree of professionalism, discretion, and confidentiality. This role demonstrates exceptional organizational skills, sound judgment, and a proactive, solutions-oriented approach while anticipating needs in a fast-paced and dynamic environment. This position manages a broad range of complex administrative and operational responsibilities, including coordinating a demanding executive calendar, supporting strategic initiatives and special projects, preparing executive-level reports, presentations, and correspondence, and gathering information for meetings with internal and external stakeholders. The role also maintains key contact databases, coordinates domestic and international travel arrangements, and processes expense reports. Success in this role requires the ability to prioritize competing demands, think critically, and deliver high-quality support while building strong relationships and collaborating effectively with stakeholders across all levels of the organization. What You Will Do
Provide high-level administrative and operational support to the CHRO, ensuring efficient execution of priorities, timely follow-through, and seamless management of daily activities. Manage a complex and dynamic executive calendar by prioritizing requests, resolving scheduling conflicts, coordinating meetings, and anticipating the CHRO’s needs to maximize productivity and effectiveness. Coordinate travel, conferences, events, and related logistics for the CHRO, including expense reporting, invoice processing, and other administrative support activities. Prepare, edit, and distribute executive communications, presentations, reports, board materials, and business documents, ensuring accuracy, quality, and professionalism. Support HR Leadership Team operations by coordinating meetings, developing agendas, tracking action items, and driving follow-through on key initiatives and deliverables. Serve as a trusted liaison and gatekeeper between the CHRO and internal and external stakeholders, handling sensitive and confidential matters with discretion, sound judgment, and professionalism. Research, prioritize, and facilitate the resolution of issues, requests, and correspondence directed to the CHRO, determining appropriate actions, referrals, and responses. Keep the CHRO informed of upcoming commitments, deadlines, and priorities while proactively anticipating needs related to meetings, presentations, leadership discussions, and strategic initiatives. Support decision-making and execution through data analysis, reporting, project coordination, and tracking of key business commitments and outcomes. Develop and maintain effective systems, processes, and record management practices that enhance organization, information accessibility, and operational efficiency. Exercise independent judgment in managing competing priorities, improving administrative processes, and recommending solutions to increase effectiveness and streamline workflows. Demonstrate the highest levels of confidentiality, credibility, dependability, and professionalism in all interactions and responsibilities.
