Senior Specialist – GSM Operations

We are looking for a Senior Specialist, GSM Operations to provide strategic operational and administrative support to the Global Supply Management (GSM) Leadership Team. This role partners with senior leaders to guide organisational effectiveness, business planning, executive decision support, governance activities, and global coordination across multiple regions. You will bring partner management capabilities, analytical expertise, and the ability to translate complex business information into applicable insights that support leadership decision-making.

Executive & Leadership Support Provide administrative support to the GSM Leadership Team across multiple global locations. Manage complex calendars across multiple time zones and coordinate leadership meetings. Prioritise meeting requests and resolve scheduling conflicts. Prepare meeting agendas, presentations, and action trackers. Support executive communications and follow up on main deliverables. Be the trusted operational partner to the VP - GSM by anticipating executive priorities, identifying follow-up needs, and progressing critical business matters with the right partners. Prepare executive briefing materials, decision summaries, leadership talking points, and concise business updates to support the VP in internal and global forums. Summarise inputs from regional and functional partners into clear, executive-ready summaries that aid decision-making and leadership agreement. Business Operations & Decision Support Support the VP - GSM in reviewing our priorities, operational performance, risks, and main follow-up actions across the GSM organisation. Prepare executive reports, dashboards, performance summaries, and insight packs by consolidating inputs from regional GSM partners to support leadership reviews, global meetings, and strategic decision-making. Track main plans, milestones, dependencies, and action items, providing visibility on progress, risks, and areas requiring intervention or escalation. Analyse operating updates, budget data, and leadership discussions to identify trends, gaps, and improvement opportunities, translating findings into applicable recommendations for the VP. Global Travel & Logistics Coordinate complex domestic and international travel for GSM leaders. Manage flight, hotel, visa, and ground transportation bookings. Support travel changes and itinerary management across multiple regions. Coordinate travel budgets and expense reconciliation. Provide analysis of travel spend, travel patterns, and related cost drivers to support informed planning and budget management. Ensure executive travel planning is aligned with our priorities, cost discipline, and meeting goals. Budget & Financial Administration Support annual and quarterly Travel & Entertainment budget planning across global regions. Track budget use and prepare periodic reports. Coordinate purchase requests, invoices, expense reimbursements, and payments. Partner with Finance to oversee budget performance and support planning activities. Support preparation of P&L-related reports, expense summaries, variance analysis, and financial insights for the Leader. Monitor team expenses, discretionary spend, budget use, and forecast trends, and provide relevant insights to support decision-making and cost management. Partner with Finance to prepare executive-level budget updates, identify risks or exceptions, and highlight areas requiring leadership attention.
