Information Coordinator- JLL What this job involves: As an Information Coordinator at JLL, you'll be the welcoming face and vital information hub for our facility operations team. This role centers on creating positive first impressions while managing the essential flow of communication, correspondence, and information that keeps our workplace running smoothly. You'll coordinate everything from visitor management and call routing to mail distribution and administrative support, ensuring that every interaction reflects our commitment to excellence. What your day-to-day will look like: • Greet clients, guests, and employees with professionalism and warmth, creating positive first impressions and providing necessary information, direction, and assistance • Answer incoming calls promptly using company protocol, direct calls to appropriate associates, and ensure all inquiries are handled efficiently • Manage visitor and employee security badge processes, maintaining safety protocols and access control procedures • Coordinate mail and courier services, including scheduling pick-ups and deliveries, confirming receipt with appropriate parties, and resolving delivery issues in a timely manner • Support the Facility Manager and Facility Coordinator with clerical duties, document management, and administrative tasks • Respond to basic client and general inquiries while escalating complex queries to the appropriate team members • Maintain a clean, organized, and safe workspace while ensuring compliance with all JLL and client facility policies and procedures Required qualifications: • High school diploma or equivalent required • 1+ years of proven work experience in facility or property administration within the commercial real estate industry • Excellent customer service and relationship building skills with a welcoming, professional demeanor • Strong organizational, interpersonal, and communication skills • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), mapping software, and database applications • Working knowledge of audio visual equipment typically found in conference rooms • Physical ability to lift files, open filing cabinets, and bend or stand as necessary throughout the workday Preferred qualifications: • Some college coursework in business, hospitality, property management, or related field • Fluency in Spanish and English, both verbal and written • Experience participating in facility improvement programs or professional development initiatives • Familiarity with visitor management systems and security protocols • Background supporting geographically dispersed or multi-site operations Schedule : M-F 8AM-5PM Location: Redwood CA This position does not provide visa sponsorship.
