THE ROLE
The Site Experience Production Coordinator is responsible for ensuring the success of event productions by coordinating the technical, personnel and organizational aspects of the Site Experience department. Will support various aspects of the production process from an administrative standpoint, to include payroll, supporting advances and general upkeep of SOPs and company policies. They are responsible for assisting all department project managers and the shows they are assigned to.
RESPONSIBILITIES
Assist Site Experience and Visual Communications department personnel with job functions as needed Maintain proper documentation of any drives, templates, SOPs, etc Create and maintain inventory and maintenance log Distribute information to various stakeholders in a timely manner Partner with the project manager to onboard appropriate number of staff while maintaining databases of information Maintain regular communication with the Management team Support production leads and management in advancing any items needed for show Manage travel accommodations through proper systems Accurately and timely input all seasonal employee’s hours and respond to any payroll inquiries to ensure employee satisfaction Support in tracking expenses for show specific supplies according to company policy and Project Manager guidance Annotate maps, drawings, documents per established guidelines Advance equipment, site needs and travel details for shows Attend production and operations meetings as outlined by the head of department Assist with vendor set up and maintain accurate records Ensure that working conditions are safe and that employees are following company safety procedures Follow all safety, corporate and department policies Maintaining a professional and supportive work environment while following up on work assignments given Conduct daily rounds on all areas that fall under responsibility Research and secure sources for new projects QUALIFICATIONS Bachelor's degree or trade school accreditation in related field preferred 2+ years festival and concert tour experience Proven ability to remain calm and professional in all situations Thorough understanding various aspects of festival production Valid and current driver license, U.S. Passport Proficient in MAC/PC OSHA 10 Certification required Well versed in Microsoft Office Suite and Google Docs Ability to handle multiple projects simultaneously Ability to make clear and concise decisions; sometimes with limited information Must possess superior interpersonal communication and organizational skills Excellent communication and presentation skills with technical, non-technical and executive audiences Proven ability to project a
