Facilities Assistant What this job involves: As a Facilities Assistant at JLL, you'll play a vital role in ensuring our clients' workplaces run smoothly and efficiently every single day. This position is all about being the boots on the ground—supporting the facilities management team in maintaining safe, functional, and welcoming environments where people can do their best work. You'll handle a diverse range of responsibilities, from coordinating maintenance requests and conducting regular inspections to supporting vendor management and ensuring compliance with health and safety standards. What your day-to-day will look like: Respond promptly to maintenance requests and service calls, coordinating with vendors and technicians to ensure timely resolution Conduct routine building inspections to identify maintenance needs, safety hazards, and opportunities for operational improvements Maintain accurate records of work orders, preventive maintenance schedules, vendor contracts, and compliance documentation Support space planning initiatives by tracking occupancy, coordinating moves, and ensuring workspaces are set up to meet client needs Monitor building systems including HVAC, lighting, plumbing, and security to ensure optimal performance and energy efficiency Assist with health and safety compliance by conducting regular audits, maintaining safety equipment, and supporting emergency preparedness programs Coordinate with cleaning crews, security personnel, and other service providers to maintain high standards across all facilities Communicate proactively with building occupants to address concerns, provide updates on maintenance activities, and gather feedback Support sustainability initiatives by identifying waste reduction opportunities and promoting environmentally responsible practices Required qualifications: High school diploma or equivalent 1–2 years of experience in facilities management, building maintenance, property management, or a related field Strong organizational skills with the ability to prioritize multiple tasks and respond effectively to changing priorities Excellent communication skills, both written and verbal, with a customer-service mindset Basic understanding of building systems, maintenance procedures, and health and safety regulations Proficiency with Microsoft Office Suite and ability to learn facilities management software systems Physical ability to conduct site inspections, which may include walking extensively, climbing stairs, and occasionally lifting up to 25 pounds Preferred qualifications: Diploma in facilities management, business administration, or a related field Experience using computerized maintenance management systems (CMMS) or work order platforms Familiarity with sustainability practices and green building certifications such as LEED or BREEAM Basic technical knowledge of HVAC, electrical, or plumbing systems Previous experience working in a corporate office environment or commercial real estate setting
