Job Overview The Sample Coordinator plays a key role in managing the flow of samples for various private brands. This position serves as a pivotal point in the product lifecycle, ensuring that samples are accurately tracked and efficiently distributed throughout the organization. The role includes collaboration with Product, Buying, and Design teams to oversee sample logistics, steaming, organization and timely arrival. A strong operational background and attention to detail are essential for success in this position.
What You Will Do
Tracking samples with PLM System in communication with our OSO partners as well as LDP partners. Collaborate with the teams managing private brands in maintaining the sample logbook and ensuring accurate record keeping. Oversee the full lifecycle of sample management, including receiving, recording, and delivering samples to various internal departments as well as filing away previous seasons. Troubleshoot and address any logistical issues related to sample shipping and delivery independently. Maintain and update the vendor database, ensuring accurate contact information and communication records. Manage all incoming and outgoing communications with vendors pertaining to samples promptly. Assist the teams in setting up and breaking down showrooms. Foster strong relationships with vendor partners and maintain accurate vendor communication logs. Drive continuous improvement by identifying enhancements in sample management while collaborating with both internal and external stakeholders. Promote a culture of acceptance and respect, nurturing authentic connections within the team and across the organization. In addition to the essential duties mentioned above, other duties may be assigned.
Skills You Will Need Operational Acumen: Expertise in handling operational processes related to sample management, logistics tracking, and troubleshooting shipping issues. Collaboration: Excellent teamwork abilities to work effectively with vendors, the teams managing private brands, and various internal departments. Ownership and Accountability : A proactive approach to managing sample workflows and processes, ensuring accuracy and timeliness. Results-Driven Approach: Focus on achieving measurable results, meeting deadlines, and contributing to process improvements. Communication Skills: Strong verbal and written communication skills for effective collaboration across different functions and levels of the organization.
Who You Are
Candidates with a High School diploma or equivalent are encouraged to apply. Proficiency in basic mathematics including addition, subtraction, multiplication, and division; ability to compute rates, ratios, and percentages; and experience in interpreting data visualizations. This role involves performing essential job functions such as communication, collaboration, and use of office and computer systems. Responsibilities include the ability to access and review written and electronic information, and to move within the work environment and interact with workplace materials as needed to carry out job responsibilities. Flexibility in working hours based on department and company needs is essential.
