We are seeking a Administrative Coordinator to join our Regulatory Affairs team, supporting our Japan Regulatory Affairs organization in a hybrid work model. In this role, you will provide administrative and operational support to local and global Regulatory Affairs activities while collaborating with Regulatory Affairs, safety, Human Resources, Talent Acquisition, and global colleagues. When & where: Location: Tokyo, Japan Work model: Hybrid Discover your role: Arrange business meetings and provide meeting minutes for Regulatory Affairs and Marketing Authorization Holder activities. Deliver administrative support, including office supplies, filing, business cards, postage, and phone coordination. Create, process, and track purchase orders and invoices. Coordinate domestic and international travel for Japan Regulatory Affairs members and global visitors. Manage the Head of Japan Regulatory Affairs calendar, schedules, and expense reports. Support internal communications and onboarding, hiring, and interview activities with Human Resources and Talent Acquisition. Provide operational support to regulatory and safety teams in Japan. You build trusted relationships while handling sensitive information with discretion. This role requires: Relevant degree or related discipline. Minimum 5 years of experience as a Group Administrator or Administrative Coordinator in a global company. 5+ years of relevant experience, preferably within the pharmaceutical industry. Ability to independently handle difficult inquiries using sound judgment. Strong organizational skills with the ability to multitask and reprioritize work. Ability to work under pressure while maintaining attention to detail. Strong verbal, written, and interpersonal communication skills in Japanese and English. Experience with Microsoft Word, Excel, PowerPoint, and Outlook. Interest in helping establish and develop new local entities within global companies.
