About this role
Your Opportunity as the Administrative Assistant Make a meaningful impact on our organization by supporting key leaders and their respective departments across a variety of projects and initiatives. Leverage your exceptional organizational skills to coordinate onsite meetings and virtual engagements, manage expense reports with attention to departmental budgets, and provide support in developing presentations, contracts, and other business materials. Location: Washington, DC Work Arrangement: Hybrid, with a 30%-50% in-office expectation In this role, you will: Manage leaders’ calendars, travel arrangements, expense reports, and provide phone and email support as needed. Coordinate company events, including planning, reserving space, ordering catering or branded goods, and distributing invitations. Assist with company-wide communications, including leadership support, meeting coordination, and preparation of printed materials. Manage company philanthropic efforts, including vendor coordination and donation check distribution. Organize personnel information (birthdays, work anniversaries, etc.) and acquire office equipment, computers, and supplies for new and current employees. Serve as a "super-user" for various systems related to budget management, purchase requisitions, inventory management, and expense reporting. Run monthly budget reports, enter data, and keep teams informed of changes and reporting updates. Maintain electronic files in the department's SharePoint site, stay current on records management requirements, and communicate retention schedules to ensure proper file storage and organization.
What We Are Looking For
Minimum Requirements: 3+ years of administrative experience supporting large teams and/or leadership teams Intermediate to advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams Proven experience managing complex calendars and scheduling meetings, appointments, and events in a fast-paced environment Strong organizational skills with the ability to manage multiple priorities simultaneously Exceptional written and verbal communication skills across a variety of channels, including Microsoft Teams, in-person meetings, email, presentations, meeting minutes, and correspondence Experience handling confidential information with sound judgment and discretion Willingness to travel up to 15% annually Additional skills and experience that would make someone successful in this role: Experience tracking expenses and building reports in Excel Experience creating and editing presentations in PowerPoint Strong project management skills The Right Place for You We are bold, kind, strive to do the right thing, we play to win, and we believe in a strong community that thrives together.
