What You Can Expect
The Executive Assistant is partnering closely with the Director of Manufacturing in his daily work. This position is central and delivers high-level administrative, organisational, and coordination support to ensure the smooth and effective functioning of the Manufacturing leadership team. Acting as a central point of contact, the role facilitates seamless communication between the Director, senior leadership, internal teams, and external stakeholders.
This position requires a highly proactive, resourceful individual who can operate independently, manage competing priorities, and handle a broad range of responsibilities with professionalism, discretion, and sound judgment.
How You'll Create Impact
• Provide comprehensive PA support to the Director of Manufacturing, including diary management, meeting scheduling, and travel arrangements-
• Act as a gatekeeper, managing correspondence, emails, calls, and requests efficiently
• Prepare agendas, presentations, reports, and briefing materials for leadership and operational meetings
• Take accurate meeting minutes and track actions to completion
• Coordinate manufacturing directors Calendar including coordination/agendas of leadership meetings such as offsite and townhalls
• Support preparation and collation of KPI dashboards, production reports, and operational updates
• Assist with planning and logistics for site visits, audits, customer visits, and inspections
• Create of PO’s & resolving issues with open PO’s, manage stationary account & ADP delegate for leaders
• Serve as a key point of contact between the Director of Manufacturing and internal/external stakeholders
• Draft & distribute communications on behalf of the Director/Leadership team
• Develop strong relationship with Corporate Communications Team
• Identify opportunities to streamline processes
• Support continuous improvement initiatives by improving coordination, visibility, and follow-through
What Makes You Stand Out
• Proven experience in a PA, Executive Assistant, or Senior Administrator role
• Strong organisational & time-management skills with ability to manage multiple priorities and complex calendars
• Excellent written and verbal communication skills
• Interest and ability to build strong internal communication tools
• High level of discretion and professionalism
• Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Digital Software Package experience & proficiency such as MSOffice, SAP, Ariba
• Familiarity
