Workplace Coordinator, Customer Engagement What You Can Expect In this role, you will serve as the face of Zoom’s Tokyo office, creating meaningful experiences for customers, employees, and visitors at one of our most important customer-facing sites in the region. You will lead day-to-day operations while supporting high-impact customer events and Experience Center programming, ensuring every touchpoint reflects Zoom’s standard for world-class service. Beyond office management, you will play an active part in the planning and execution of Zoom’s new Tokyo office relocation, collaborating with contractors, internal stakeholders, and a global Real Estate and Workplace Services team spanning markets from Singapore to San Jose. Full professional fluency in Japanese and English is required for this role. This position requires on-site presence five (5) days per week at our Tokyo, Japan office. Remote or hybrid arrangements are not available for this role.

The Real Estate and Workplace Services team at Zoom drives the physical environments and workplace experiences that enable Zoom’s global workforce to do their best work. Operating across major offices in the Asia Pacific region and beyond, this team ensures every Zoom location is a welcoming, functional, and connected space for Zoomies and customers alike. As a member of the Tokyo team, you will contribute to a growing APAC presence with close ties to counterparts in Singapore, Sydney, Mumbai, and the broader global organization.
Responsibilities
Operate the Tokyo office end-to-end, managing facilities, vendor relationships, preventative maintenance, badge access, shipping and receiving, and catering coordination to maintain a safe, welcoming environment for all employees and guests. Lead on-site health and safety protocols, including emergency procedures and evacuation planning, as an active member of Zoom’s local health and safety team. Deliver exceptional customer and visitor experiences by welcoming guests, pre-registering attendees, and serving as the primary on-site point of contact during all customer visits and Experience Center events. Support the planning, coordination, and execution of customer-facing and internal events, covering room setup, AV readiness, catering logistics, and post-event wrap-up. Manage virtual reception across the APAC region and collaborate with regional Workplace Coordinators in Singapore, Sydney, and Mumbai to align on standards, share best practices, and support cross-regional initiatives. Coordinate Zoom’s Tokyo office relocation by serving as the on-the-ground liaison for construction and fit-out activities, tracking milestones, flagging issues, managing FF&E procurement, and supporting Day 1 readiness planning. Partner with administrative and onboarding teams to support new hire workspace setup, badge issuance, office orientation, vendor contract records, purchase order tracking, and budget reporting. What We’re Looking For 2 or more years of experience in workplace coordination, office management, facilities, events, or an executive briefing or customer engagement environment, with a demonstrated track record of delivering high-quality employee and customer experiences. Experience supporting or coordinating customer-facing events, VIP visits, or executive programming, with strong attention to logistics, setup, and real-time problem-solving. Stakeholder and vendor management experience, including familiarity with preventative maintenance processes and health and safety protocols. Experience with internal facility ticketing systems and a proven ability to manage workloads within established SLAs; office relocation or build-out experience is a plus. Organized, self-directed approach to work with the ability to manage competing priorities and drive projects to completion with minimal direction. Full professional fluency in Japanese and English (written and spoken) is required. Proficiency in workplace tools
